Job Summary :

The Bilingual Staffing Office Assistant provides administrative and clerical support to the staffing agency, ensuring efficient operations and excellent customer service. This role requires fluency in two languages (e.g., English and Spanish) to communicate effectively with clients, candidates, and team members. The assistant handles recruitment support, scheduling, data entry, and client inquiries while maintaining a professional and organized office environment.

Key Responsibilities :

  • Administrative Support: Perform general office tasks such as answering phones, responding to emails, filing, and managing office supplies.
  • Recruitment Assistance: Screen resumes, conduct initial candidate interviews, and assist with job postings in multiple languages.
  • Client and Candidate Communication: Serve as a point of contact for clients and job seekers, using bilingual skills to address inquiries, schedule interviews, and provide updates.
  • Data Management: Enter and update candidate and client information in the applicant tracking system (ATS) or database, ensuring accuracy and confidentiality.
  • Scheduling: Coordinate interviews, onboarding sessions, and client meetings, managing calendars for recruiters or managers.
  • Translation and Interpretation: Translate documents, job descriptions, or communications and provide verbal interpretation during meetings or interviews as needed.
  • Customer Service: Build positive relationships with candidates and clients, addressing concerns and ensuring a smooth recruitment process.
  • Compliance Support: Verify candidate documentation (e.g., work eligibility, certifications) and ensure compliance with company policies and labor regulations.
  • Team Support: Assist recruiters and managers with ad-hoc tasks, such as preparing reports, organizing job fairs, or updating social media.


Qualifications:

  • Language Proficiency: Fluency in English and at least one other language (e.g., Spanish, Mandarin, etc.), both written and verbal.
  • Education: High school diploma or equivalent; associate's or bachelor's degree in business, human resources, or a related field preferred.
  • Experience: 1-2 years of administrative or customer service experience; experience in staffing, recruitment, or HR is a plus.
